Consulting invoices are often approved by someone other than the person you worked with. Make it easy for them: reference the project and the agreement.

What to put on a consulting invoice
- The project name and the client’s purchase order number, if they gave you one
- Days or hours, and your rate
- Retainer periods, such as “Retainer — November”
- Expenses you agreed the client would cover
Put the client’s PO number in the notes. Many finance teams will not pay an invoice without one.
Questions
- How do I bill a monthly retainer?
- Add one line such as “Retainer — November” with quantity 1, then duplicate the invoice each month.
- Can I bill by the day?
- Yes. Put the number of days in the quantity column and your day rate in the price column.
- How do I keep a backup of my invoices?
- Open My invoices and choose Back up. You get a file you can restore in any browser.
